2. Terms & Conditions

These Terms and Conditions ("Terms") govern participation in Equestrinations 2nd Hand Market (the "Event"), a second-hand market for horse riding equipment organised by Equestrinations ("the Organiser"). By registering as a seller ("Vendor") or attending as a buyer ("Visitor"), you agree to be bound by these Terms.

2.1 Event Cancellation by the Organiser
- The Organiser reserves the right to cancel, postpone, or relocate the Event due to circumstances beyond its reasonable control, including but not limited to adverse weather, insufficient registrations, venue unavailability, or force majeure events.
- In the event of cancellation, the Organiser will notify all registered Vendors as soon as reasonably possible via email, SMS, WhatsApp, website and Instagram notice, no later than 5 days before the Event where possible.
- If the Event is postponed by the Organiser: Vendor stand/table fees will be credited towards a future event unless the Vendor notifies the Organiser of their withdrawal within 5 days of the new date being announced.
- The Organiser is not liable for any indirect costs incurred by Vendors because of cancellation or postponement (e.g. travel, accommodation, printed materials, loss of anticipated sales).
2.2 Cancellation by Vendor / Buyer
- Vendors wishing to cancel their participation must notify the Organiser in writing by email at info@equestrinations.com.
- Cancellations made more than 30 days before the Event: full refund of stand fee, minus a 150 AED administration fee.
- Cancellations made between 29 and 10 days before the Event: 50% refund of stand fee, minus a 150 AED administration fee.
- Cancellations made less than 10 days before the Event, or no-shows on the day: no refund will be issued.
- Vendors may transfer their booking to another eligible seller with prior written approval from the Organiser, subject to a 100 AED transfer fee.
2.3 Installation (Set-Up) — Rules and Timings
- Vendor access to the venue for stand set-up opens on the day itself of the Event, 2 hours before the visitor opening. Vendors arriving after this window may forfeit their stand allocation without refund, at the Organiser's discretion.
- Each Vendor must check in at the registration/welcome desk on arrival before accessing their allocated stand space.
- Stand locations are allocated by the Organiser and may not be changed without prior approval.
- Vendors must use tables, rails, hangers, and display equipment from the Organiser.
- All items displayed must fit within the allocated stand footprint. Encroachment into aisles or neighbouring stands is not permitted.
- Vendors are responsible for the safe and stable set-up of their own displays.
- Vehicles must be unloaded promptly and moved to the designated parking area immediately after unloading, to keep access routes clear for other Vendors.
- All stands must be fully set up and ready ahead of doors opening to Visitors (cfr website).
2.4 Dismantling (Break-Down) — Rules and Timings
- Dismantling may not begin before the official Event closing time. Vendors packing up early, while the Event is still open to Visitors, may be excluded from future events.
- All Vendors must vacate the venue and remove all goods, packaging, and equipment by 1 hour after door closing.
- Vendors are responsible for leaving their allocated stand space clean and free of rubbish, packaging, and unsold items. A cleaning fee of 200 AED will be charged for spaces left in an unsatisfactory condition and with items left behind.
- Vehicles may only re-enter the venue for loading once the aisles are confirmed clear by Event staff, to ensure Visitor and Vendor safety.
2.5 General Event Guidelines and Rules
2.5.1 Eligible Items
- Second-hand horse-riding equipment and related items may be sold (e.g. tack, rugs, saddle pads, protective wear, grooming kits, clothing, boots).
- Items must be clean, safe to use, and accurately described. Tack with structural damage, rot, or safety defects (e.g. cracked leather at stress points, damaged stitching on girths or reins) must be clearly labelled as "for repair/spares only" and may not be sold as ride-ready.
- Counterfeit or unauthorised branded goods are strictly prohibited.
2.5.2 Vendor Conduct
- Vendors are solely responsible for the accuracy of item descriptions and the condition of goods sold; the Organiser does not inspect, endorse, or guarantee any items sold at the Event.
- All sales are transactions directly between Vendor and Buyer. The Organiser is not a party to any sale and accepts no liability for disputes, refunds, or item quality after purchase.
- Vendors are responsible for their own change/float and payment methods (cash, card reader, etc.). The Organiser does not provide banking facilities.
2.5.3 Visitor Conduct
- Visitors are encouraged to inspect items carefully before purchase, including checking stitching, buckles, and fit where relevant, as most sales are final.
- Animals policy – refer to the rules of the venue.
- Visitors must follow all instructions from Event staff regarding safety, parking, and access.
2.5.4 Health, Safety & Liability
- All persons on-site (Vendors, Visitors, staff) do so at their own risk. The Organiser accepts no liability or responsibility for any injury, loss, theft, or damage to personal property, stock, or cash belonging to Vendors or Visitors.
- Fire exits and aisles must be kept clear at all times.
- Any accidents or incidents must be reported immediately to Event staff.
- The Organiser reserves the right to remove any Vendor or Visitor from the venue for conduct that is unsafe, abusive, or in breach of these Terms, without refund.
2.5.5 Photography & Data
- The Event may be photographed or filmed for promotional purposes. By attending, Vendors and Visitors consent to the possible use of their image in such materials, unless they notify the Organiser in advance.
- Personal data collected during registration will be used solely for Event administration and communication.
